Depending on your role (Admin, Player, Judge) and how you use the Platform, we may collect:
- Identity and profile data: full name, date of birth, gender, age group, mobile number, email address, username, and role-specific identifiers (for example player or judge IDs).
- Authentication data: login credentials, one-time passwords (where enabled), session identifiers, and information from Google Sign-In (such as your Google account email address when you choose that login method).
- Tournament and event data: registrations, event selections, judge assignments, scores, rankings, audit records, and related operational records.
- Document and image data: passport photographs, identity documents, and asana-related images uploaded or linked as part of registration or event administration.
- Technical data: browser type, device information, IP address, timestamps, and cookies or similar session technologies needed to operate the Platform securely.
3. How we collect information
- Directly from you when you register, log in, update your profile, or submit forms.
- From tournament administrators when they create or manage player, judge, or event records.
- From Google when you use Google Sign-In or when the Platform accesses Google Drive and Google Sheets on your behalf or on behalf of authorized administrators (subject to the permissions you or your organization grant).
- Automatically through session cookies and server logs required for security and operation.
4. Why we use your information
We process personal information for lawful purposes connected to yogasana tournament operations, including to:
- Create and manage user accounts and role-based access (Admin, Player, Judge).
- Register participants and judges for tournaments and events.
- Assign judges, record scores, calculate results, and publish outcome records.
- Verify eligibility (for example age group and gender categories for events).
- Maintain audit trails and operational records for transparency and governance.
- Communicate with you about your account, registrations, or platform notices.
- Protect the Platform against fraud, misuse, and unauthorized access.
- Comply with applicable laws, regulatory requirements, and legitimate requests from authorities.
5. Legal basis (India)
We process personal data in accordance with applicable laws in India, including the Digital Personal Data Protection Act, 2023 (DPDP Act), where applicable. Processing is generally based on your consent, performance of services you request, compliance with law, or legitimate uses permitted for tournament administration and sports governance.
6. Google services
The Platform integrates with Google services, including:
- Google Sign-In — to authenticate users with a Google account, where enabled.
- Google Drive and Google Sheets — to store tournament master data, player and judge records, event databases, and scoring information configured by administrators.
When you authorize Google access, Google may process your information under Google's Privacy Policy. We access only the Google data and scopes required to operate the Platform.
7. How we store and share information
- Data is stored in systems operated or configured by TYSA, including cloud hosting (such as Vercel) and Google Workspace / Google Drive resources designated for the Platform.
- Access is restricted by role. Admins, players, and judges can see only the information needed for their authorized functions.
- We do not sell your personal information. We may share data with service providers who help us host or operate the Platform (for example cloud infrastructure providers), subject to appropriate safeguards, or when required by law.
- Tournament results and participant listings may be published or displayed within the Platform or at events as part of normal sports administration.
8. Data retention
We retain personal information for as long as needed to operate tournaments, maintain historical sports records, resolve disputes, meet legal obligations, and enforce our Terms of Use. When data is no longer required, we delete or anonymize it where reasonably practicable.
9. Children and minors
The Platform supports youth yogasana competitions. Where a user is under 18 years of age, registration and use should be completed with the knowledge and consent of a parent or legal guardian. We collect only the information necessary for age-appropriate event eligibility and tournament administration.
10. Security
We implement reasonable administrative, technical, and organizational measures to protect personal information, including access controls, secure connections (HTTPS), and restricted administrative access. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
11. Your rights and choices
Subject to applicable law, you may have the right to:
- Request access to personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Withdraw consent where processing is consent-based (without affecting prior lawful processing).
